Administrative Assistant (Planner)  

About the role

As Administrative Assistant – Planning, you are the central hub for our Talent Acquisition experts. You ensure that all intakes, interviews, and meetings are scheduled seamlessly, allowing the recruitment team to focus fully on finding the right talent. You work in a dynamic environment with diverse stakeholders, from hiring managers to candidates, and play a crucial role in the success of this transition.

What are you going to do?

  • Planning & Coordinating: You are responsible for scheduling all intake interviews between Talent Acquisition experts and hiring managers, as well as follow-up interviews with candidates.
  • Facilitation: You book and reserve spaces within the organization and ensure the appropriate facilities are available (hybrid meetings, technical support, etc.).
  • Follow-up: You provide structured follow-up after intakes and interviews, monitor the schedule, and proactively identify bottlenecks.
  • Stakeholder management: You liaise effortlessly with various departments, managers, and external candidates. You are the central point of contact for all planning issues.
  • Analytical support: You maintain an overview in a complex environment, manage high-occupancy schedules, and contribute ideas on how to make planning more efficient.

What are you bringing?

  • Extensive planning experience: You have demonstrable experience with planning and coordination within a complex organization. You can switch between different priorities and always maintain an overview.
  • Strong analytical skills & Excel knowledge: You have a numerical mindset, can recognize patterns, and work fluently with Excel (pivot tables, formulas, data analysis). knowledge of SuccessFactors is a huge plus.
  • Stakeholder experience: You are accustomed to communicating with diverse stakeholders (from management to candidates) and know how to turn resistance into collaboration.
  • Independent & proactive: You are not bothered by high work pressure; you take initiative, come up with solutions, and work both independently and as part of a team.
  • Availability: You are available full-time from mid-April to the end of July and do not plan any holidays during this period.
